How to Add a Professional Email Signature in Outlook

Follow these simple steps to create or update your email signature. Instructions are provided for the three most common versions of Outlook.

1. Outlook on the Web (browser version – outlook.office.com)

  1. Go to outlook.office.com and sign in.
  2. Click the gear icon ⚙️ in the top right corner.
  3. Scroll down and click View all Outlook settings.
  4. Select Mail → Compose and reply.
  5. In the Email signature section, click + New signature (or edit your existing one).
  6. Give it a name (e.g., “My Work Signature”).
  7. Paste or type your signature text in the box and format it (bold, bullets, links, logo, etc.).
  8. Check the box: Automatically include my signature on new messages I compose.
  9. (Optional) Check the box for replies/forwards.
  10. Click Save.

2. New Outlook for Windows (the modern app)

  1. Open the New Outlook app.
  2. Click the gear icon ⚙️ in the top right.
  3. Go to Accounts → Signatures.
  4. Click Add signature (or + New).
  5. Give it a name and paste/format your signature in the editor.
  6. Select your account and set it as default for new messages (and replies if desired).
  7. Click Save.

3. Classic Outlook Desktop (traditional full version)

  1. Open Outlook on your computer.
  2. Click File → Options.
  3. Click Mail on the left side.
  4. Click the Signatures... button.
  5. Click New, type a name for your signature (e.g., “My Work Signature”), and click OK.
  6. Paste or type your signature in the edit box and format it.
  7. At the bottom, choose your signature as default for New messages (and Replies/forwards if you want).
  8. Click OK.
